A straightforward guide to the rights you may have over personal information held by Prime Impact Events & Media Ltd in connection with OM Yoga Show.

UK data protection law gives individuals rights over their personal information. The right that applies will depend on why the information is being used and the circumstances of the request.

Rights are not absolute. We may need to keep or use information where the law permits or requires it, and we will explain any restriction that applies.
2. Asking for a copy of your information
You can make a subject access request to find out what personal information we hold about you and receive a copy of it.
To help us locate the information, tell us:
- your full name and the email address or telephone number you used with us;
- your relationship with OM Yoga Show, such as visitor, ticket holder, exhibitor, presenter or newsletter subscriber;
- the event year, booking reference or approximate dates involved;
- the type of information you are looking for; and
- how you would prefer to receive our response.
You do not need to use legal language or complete a special form. Simply explain what you are asking us to do.
3. Correcting, deleting or restricting information
You can ask us to correct information you believe is inaccurate. You can also ask us to complete information you believe is incomplete.
You may ask us to erase information where, for example, it is no longer needed for the purpose for which it was collected, you withdraw consent and no other legal basis applies, or the information has been used unlawfully.
You may ask us to restrict use while accuracy, an objection or another issue is being considered. We may still store restricted information and use it where the law allows, including for legal claims.
4. Marketing and consent choices
You have an absolute right to object to direct marketing. Use the unsubscribe link in any marketing email or contact us at privacy@primeimpact.co.uk.
Where we rely on consent, you can withdraw it at any time. This will not make anything we did before withdrawal unlawful.
We may retain a minimal suppression record to ensure that your marketing preference continues to be respected.
5. How to make a request
For email requests, a useful subject line is “Data protection request”. Please do not send unnecessary identity documents with your first message.
6. Confirming identity and authority
We may ask for information reasonably needed to confirm your identity and prevent personal information being disclosed to the wrong person. We will only ask for what is proportionate to the risk and the request.
If you are acting for another person, we may ask for evidence that they have authorised you to act or that you otherwise have legal authority.
7. Our response
We will acknowledge and handle requests without undue delay. We will normally respond within one month after receiving a valid request and any information reasonably needed to confirm identity or clarify the request.
Where a request is particularly complex or several requests are made, the law may allow more time. We will explain any extension and the reason for it.
Requests are normally free. A reasonable fee may be permitted, or a request may be refused, where it is manifestly unfounded or excessive. We will explain our decision and your complaint rights.
8. Information we may not be able to provide
We may need to withhold or redact information where an exemption applies, including where disclosure would adversely affect another person’s rights, reveal legally privileged material, compromise security, or conflict with a legal obligation.
We may also need to retain information for tax, accounting, fraud prevention, health and safety, safeguarding, contractual, regulatory or legal-claim purposes even after an erasure request.
